Who we are
RepDek is booking software for personal trainers and small class instructors: trainers run their diary, bookings, session packs and invoices in RepDek, and their clients book and keep track of their own sessions through it. This policy explains what information RepDek holds, why, and who can see it.
What we collect
Account details. If you sign up as a trainer: your name, email address, your business name, and your services, prices and working hours.
Client details. Your trainer adds your name and contact details so they can book you in, and anything you enter yourself once you have a login.
Bookings and invoices. The sessions you book or are booked into, session pack balances, invoices your trainer raises, and payments they record against them.
Health form answers. Before training, your trainer may ask you to complete a health form (a PAR-Q-style questionnaire and declaration). Your answers — including any health conditions you tell your trainer about — are stored in RepDek so your trainer can see them. Only your own trainer can see your answers.
Food diary. If you use the food diary, the meals you type in are stored so you and your trainer can look back over them together.
Why we hold it
Only to run the service: taking and managing bookings, counting down session packs, creating invoices, sending service emails (such as invites and password resets), and helping you when you contact us. We do not sell personal information, and we do not use it for advertising.
Who sees it
Your trainer sees your client record: your contact details, bookings, pack balance, invoices, food diary and health form answers. You see your own bookings, pack, invoices and entries. A trainer can never see another trainer’s clients, and one client can never see another client’s information.
Who processes it for us
We use a small number of providers to run RepDek: Supabase (database and sign-in system) and Vercel (website hosting). When email sending is switched on, service emails are delivered via Resend. RepDek does not take card payments yet; when card payments are enabled they will be handled by Stripe, and we will never see or store your full card number.
Analytics
RepDek uses Google Analytics to understand how the site is used — which pages people visit and how they move through RepDek — so we can fix the parts people struggle with. Google Analytics is only switched on if you accept it in the cookie banner; if you say no, or never answer, it never loads. We do not use it for advertising, and we have not switched on Google’s advertising features. You can change your mind any time with the Cookie settings link in the footer. Google explains how it handles information from sites that use its services at policies.google.com/technologies/partner-sites.
Keeping and deleting data
We keep your information while the relevant trainer account is active. Trainers can remove clients from their account; where a client has bookings or invoices on record, the trainer’s account keeps that history (the client is archived rather than deleted) so their accounts stay accurate.
Your rights
You can ask to see the information held about you, to have it corrected, or to have it deleted. If you are a client, ask your trainer first — they control your client record and can usually sort it out straight away. If that doesn’t resolve it, contact the RepDek team using the contact details below and we’ll help.
Cookies
We use only the cookies needed to keep you signed in and the site secure, plus analytics cookies if you consent to them.
Contact
Questions about this policy or your information: if you train with a RepDek trainer, start with them. Otherwise, reply to any email RepDek has sent you, and the RepDek team will pick it up.
